Manage Staff

There is no single "Manage Staff" page anymore - staffing configuration lives under Settings → Staff, split across six tabs: Holiday Calendars, Workload Schemes, Staff Assignments, Plan Vacation, Roles, and Skills.

Accessing Staff Settings

Global sidebar → Settings → Staff group

Holiday Calendars

Define company or regional holidays that reduce available capacity on non-working days. Used by capacity calculations across the app.

Workload Schemes

A Workload Scheme defines hours worked per weekday (e.g., "Full-Time 8h": 8 hours Mon–Fri; "4-day week": 0/8/8/8/8). This is how per-person or per-role working-hour differences are modeled now - there is no separate global "Hours Per Day" setting to fall back on.

Staff Assignments

Assigns each Jira user a Holiday Calendar and a Workload Scheme. The list shows Name, Holiday Calendar, and Workload Scheme columns, with a search box and filter dropdowns for Calendar and Scheme - there's no separate "App Access" toggle or Active/Inactive status column here. To give someone different working hours than the default, assign them a different Workload Scheme rather than overriding hours-per-day on their row directly.

Plan Vacation

Record planned time off so capacity calculations account for it.

Roles and Skills

Simple named/colored tags (Roles, Skills) that can be assigned to people - used for labeling and filtering, not for gating who appears in app dropdowns.

Tips

  • Create a Workload Scheme per distinct work pattern in your org (full-time, part-time, 4-day week) rather than trying to set hours per individual
  • Assign Holiday Calendars by region if your team spans multiple countries
  • Revisit Staff Assignments when onboarding or offboarding team members to keep schemes current
