Microsoft Calendar Integration
Microsoft Calendar integration connects your own Outlook calendar to the app so your meetings show up as logging suggestions in Time Tracking, and as a personal reference row while you build plans in Capacity Planner. It is a personal, per-user connection - each person connects their own account individually. There is no organization-wide or admin-managed setup step.
How to Connect
- Open Settings → Apps
- Find the Microsoft Calendar card and click Connect
- You'll be taken to Microsoft's consent screen - review the account and permissions, then click Continue
- The first time anyone on your site connects, Jira may show a banner reading "requires additional access to your account" with a Configure access button - click it and complete the prompt if it appears
- The app detects the connection automatically (this can take a few seconds) - no action needed beyond granting consent. The card updates to show a green Connected badge and the date you connected
Note: you're connecting your own Outlook calendar, not anyone else's. Every person on the team who wants their meetings to appear needs to connect their own account from their own Settings → Apps screen.
What It Does in Time Tracking (My Calendar)
Once connected, open Time-Tracking & Reporting → My Work → My Calendar. Your Outlook events for each visible day appear alongside your logged worklogs, each showing its title, time, and duration.
- Unlogged events are labelled "click to log" - clicking one opens the Log Time form prefilled with the event's date, start time, and duration. You still choose which Jira issue it belongs to; nothing is logged automatically just because it's on your calendar.
- Already-logged events are labelled "already logged" once you've turned them into a worklog, so you don't log the same meeting twice.
- A calendar event is always a suggestion, never a worklog by itself - it only becomes logged time when you explicitly click it and save.
What It Does in Capacity Planner
Open Capacity Planner & Insights → Planner, switch to the gear/settings icon in the toolbar, and enable Show Calendar Events. This adds a single Calendar events row to the bottom of the planner grid, showing your own connected calendar's events for the dates currently in view.
This is a personal reference row, not a per-teammate feature - it shows only the calendar of whoever is currently viewing the planner, not the calendars of the other assignees listed in the grid (connecting your own Microsoft account doesn't surface anyone else's meetings, even though their rows appear in the same table). It's meant to help whoever is building out a plan see their own commitments at a glance while assigning work.
Limitations to Know About
- Default calendar only. The integration reads your Outlook default calendar. An event that lives only in a secondary or shared calendar will not appear here.
- All-day events show no duration. They appear as a marker on their date but contribute 0 hours - they won't inflate any hour totals.
- Disconnecting takes two steps. Clicking Disconnect on the Microsoft Calendar card stops the app from reading your calendar going forward, but it only clears the app's own record of the connection - it does not revoke the underlying Microsoft access grant. To fully revoke access, you also need to remove the app from your Atlassian profile's Connected apps page (the Disconnect flow opens this page for you automatically). Until you revoke it there, reconnecting will skip the consent screen entirely.
Tips
- Connect your calendar before a busy week so your meetings are ready to log with one click instead of re-entering them from memory.
- If Microsoft events aren't showing up, check that they're on your default calendar, not a shared or secondary one.
- Use the Capacity Planner's Calendar events row when you're the one building a plan and want a quick gut-check against your own existing commitments.
