User & Role Management

Teams

Teams are named groups of Jira users that the app uses for capacity planning, time tracking filters, and portfolio grouping. Team Management lives inside both the Capacity Planner and Time-Tracking modules (Teams / Programs / Capacity tabs) - it isn't a standalone module.

Creating a Team

  1. Open the app → Time-Tracking or Capacity Planner module → Team Management

  2. Click Create Team

  3. Fill in the form:

    FieldRequiredDescription
Team NameYesDisplay name (e.g., "Platform Team")
DescriptionNoBrief description of the team's purpose
    ColorNoColor tag for visual identification
MembersYesAdd by searching for Jira users
  4. Click Save

Members are added individually by search - there is no Jira Group auto-sync source option. If your team previously relied on group sync, membership now needs to be maintained manually.

Managing Teams

  • View all teams in the filterable Teams list
  • Edit: click the team name → Edit → modify → Save
  • Delete: click the team name → Delete → confirm
    • Deleting a team does not affect Jira users or groups

Using Teams Across Modules

  • Capacity Planner: Group By → Team
  • Reports: Filter by Team
  • Time Tracking Reports: Filter or Group by Team
  • Analytics Dashboard: Team definitions affect team-level capacity views

Programs

Programs group multiple Teams into higher-level organizational structures.

Creating a Program

  1. Team Management → Programs tab
  2. Click Create Program
  3. Enter Program Name and select Teams → Save

Hierarchy

Programs create a two-level hierarchy: Program → Team → Members

This hierarchy appears in the Capacity Planner group-by options - select Program → Team to see capacity aggregated from top down.

Tips

  • One program per department or program increment
  • A team can belong to only one program at a time
  • Programs are most valuable in the Capacity Planner for leadership capacity rollups

Granting Access

There is no single "Member role" toggle anymore. Access comes from three sources:

Built-in Team Roles (automatic)

Making someone a Team Lead or a program's Program Manager automatically grants them the elevated permissions tied to that role (e.g. timesheet approval) - it isn't a separate role-assignment step.

Custom Permission Roles (manual)

  1. Go to Settings → Data Access → Permission Roles
  2. Create or select a role - choose its permission set and scope it globally, to a program, or to specific teams (Full or Restricted access)
  3. Assign it to the user
  4. Takes effect immediately, no logout required

Removing Access

Edit or remove the user's Permission Role assignment in Settings → Data Access → Permission Roles, or remove them as a team's Lead/a program's Manager. Existing time entries and worklogs are never deleted by a permission change.

Making Someone a Jira Admin

Cannot be done from within the app. Requires Jira site admin access:

  1. Go to Jira Settings → User Management → Groups
  2. Add the user to a qualifying group (the Jira site administrator group, org-admins, or a jira-admins-* group) - or grant them the Jira ADMINISTER permission directly
  3. The app automatically recognizes them as a Jira Admin on their next action
