Staff Settings

The Staff group in Settings provides tools for configuring individual working patterns - holiday calendars, workload schemes, and staff assignments - which feed into capacity calculations. There's no single "Manage Staff" page anymore; it's six tabs: Holiday Calendars, Workload Schemes, Staff Assignments, Plan Vacation, Roles, Skills.

Access from Settings → Staff.

Holiday Calendars

Define company-wide holidays to accurately reduce available capacity on non-working days.

Adding a Holiday:

  1. Settings → Staff → Holiday Calendars
  2. Click Add Holiday
  3. Enter: Name, Date → Save

Holidays reduce available capacity for all users on that date. The Capacity Planner automatically excludes configured holidays from available hours calculations.

Workload Schemes

Workload Schemes define the number of working hours per day for different working patterns. Since there's no global "Hours Per Day" setting anymore, a scheme is the mechanism for setting anyone's daily capacity.

Creating a Workload Scheme:

  1. Settings → Staff → Workload Schemes → Create Scheme
  2. Enter Scheme Name (e.g., "Full-Time 8h", "Part-Time 4h", "4-day week")
  3. Set hours per day for each weekday independently → Save

Example Schemes:

SchemeMonTueWedThuFri
Full-Time 8h88888
Part-Time 4h44444
4-day week08888
Contractor 6h66666

Staff Assignments

Links individual staff members to a Holiday Calendar and a Workload Scheme.

Assigning a Scheme:

  1. Settings → Staff → Staff Assignments
  2. Search for the team member
  3. Select their Holiday Calendar and Workload Scheme from the dropdowns
  4. Changes save automatically

Tips:

  • Since there's no fallback global Hours Per Day setting, make sure every user who needs accurate capacity numbers has a Workload Scheme assigned
  • Assign part-time schemes to contractors or part-time employees before running capacity reports

Performance Optimization Tips

ProblemSolution
Report loads slowlyNarrow the date range; reduce group-by dimensions; filter to fewer projects
Capacity analysis takes too longSelect fewer projects or shorter date range
Gantt chart is sluggishReduce issue count in portfolio using tighter JQL filters
Backlog table is slowFilter to a specific issue type or status to reduce the issue count
Dashboard gadget shows no dataCheck that the portfolio scope still contains issues; verify read access

Platform Limits

ConstraintImpact
Forge KVS storageVery large datasets may approach Forge storage limits
Jira API rate limitsAutomatic backoff/retry is built in - very large issue fetches may be slower
No pre-aggregationAll reports are generated on-demand from Jira data - no overnight aggregation cache
