Getting Started

Quick Start Guide

Get up and running in under 5 minutes.

Step 1 - Open the App

Click Apps in the Jira top navigation → select Time Tracking, Resource Planning & Project Management.

You'll land on the Capacity Planner module by default.

Step 2 - Check Your Access

Access is granted per team and per permission, not through a single role toggle:

  • Jira Admins get full access to every module and every Settings screen automatically
  • Team Leads and Program Managers get elevated access (like timesheet approval) automatically for the teams/programs they lead
  • Everyone else gets whatever a Jira admin has assigned them via a custom Permission Role (Settings → Data Access → Permission Roles)

If something looks greyed out, ask your Jira admin what Permission Role or team access you're missing.

Step 3 - Log Your First Time Entry

  1. In Time Tracking, open any report or click Log Time
  2. Search for the Jira issue you worked on
  3. Enter hours worked and select the date
  4. Optionally select a Time Category (e.g., Development)
  5. Click Save

Step 4 - Run a Capacity Check

  1. Click Capacity Planner & Insights in the module switcher
  2. Click Analytics Dashboard in the sidebar
  3. Select a project from the dropdown and set a date range
  4. Review the Team Allocation and Assignee Capacity tabs

Step 5 - Score Your Backlog

  1. Click Backlog Prioritization in the module switcher
  2. Select your Jira project
  3. Choose a scoring template (ICE, RICE, WSJF, or Value vs Effort)
  4. Click any metric cell to enter values - the Score column updates automatically

Step 6 - Create a Portfolio View

  1. Click Portfolio Management in the module switcher
  2. Click New Portfolio
  3. Set a filter (select projects or enter a JQL query)
  4. Click Save → switch to Gantt Chart view for timeline visualization

What's Next?

  • Set up your team under Team Management (inside Capacity Planner or Time Tracking) for better capacity reporting
  • Configure Backlog Prioritization templates for your scoring framework
  • Give your team access by assigning custom Permission Roles via Settings → Data Access → Permission Roles
